Coalition Technologies is looking for a meticulous Bookkeeper and Administrative Assistant to become part of our virtual team. This role involves handling communications, carrying out accounting tasks, and organizing a range of administrative duties. The position offers a competitive hourly wage of $15 to $25 per hour and demands availability to work 40 hours each week from 9:00 AM to 6:00 PM Pacific Standard Time.

Preferred Qualifications

  • Intermediate skills in spreadsheet software.
  • Experience in bookkeeping or managing financial records.
  • Familiarity with Google Sheets, Excel, QuickBooks Online, and G-Suite.

Your Duties and Tasks

  • Handle incoming phone calls and email correspondence.
  • Perform basic bookkeeping tasks such as recording expenses, organizing receipts, and maintaining transaction logs.
  • Resolve billing issues with clients and internal team members.
  • Provide account access, usage reports, data analysis, and other ad hoc requests.
  • Assist with quality assurance reviews on reports.
  • Coordinate new client contracts, generate invoices, and process client payments.
  • Help maintain, update, and enter data into internal databases.
  • Research, order, and distribute company-wide gifts two to three times per year.
  • Organize company events, contests, and special projects.
  • Manage company holiday schedules, time-off requests, and calendar adjustments.

Additional Duties if Based in Los Angeles

  • Collect mail from the Downtown Los Angeles office twice each week.
  • Scan and digitally organize all mail items.
  • Record and deposit client payments.
  • Collect and redistribute company office equipment from local staff, requiring a valid driver's license and dependable transportation within Los Angeles.
