Ideal candidates will have three to five years of hands-on DMV clerk experience within the automotive industry.

This DMV administrative clerk position requires accuracy and efficiency in processing vehicle titles by verifying title information, maintaining knowledge of current laws, and interacting with customers and regulatory agencies to resolve title issues. This position also entails administrative duties such as data entry, word processing, filing, copying, and answering phones.

Responsibilities

  • Process used vehicle transactions for registration in the state where they will be titled with precision and accuracy. Confirm accurate title VIN number, odometer reading, releases of liens, and that titles contain no alterations.
  • Process wholesale transactions to independent vendors or reassign titles for vehicles sold by the auction.
  • Verify that all funds have been collected and the correct lienholder has been paid off before processing title.
  • Process releases of liability.
  • Handle trade payoffs.
  • Prepare refund checks.
  • Meet company timelines in processing and resolving title issues.
  • Answer customer inquiries or concerns related to vehicle transfers.
  • Understand and follow corresponding state title processing guidelines.
  • Maintain knowledge of DMV laws and regulations.
  • Always maintain a positive and professional demeanor.
  • Contact banks to obtain lien releases when needed.
  • Compile, follow up on, and maintain a complete list of all outstanding title work.
  • Report to management on the status of any missing or problematic titles that cannot be resolved.
  • Provide a current list of outstanding titles to management.
  • Verify vehicles; current VIN verification license is a plus.

Performed Administrative Duties

  • Warranty invoicing and cancellation of warranty management.
  • Gap invoicing and cancellation of gap management.
  • Vendor cost input entries and issuing checks.
  • Perform other miscellaneous tasks as assigned by manager.

Qualifications

  • Three to five years of prior automotive DMV clerk experience.
  • Experience with VITU software is helpful.
  • Ability to multitask and problem solve.
  • Organized with keen attention to detail.
  • Strong computer and phone skills.
  • Bilingual in Spanish is a plus.
  • Candidate must be able to pass the California DMV Business Partner Automation (BPA) Program User Approval in order to be employed.
