We are hiring for a full-time, high-responsibility role within our insurance agency. This position is essential to our daily workflow, supporting both client service and internal operations. You will be responsible for handling client requests, managing incoming calls, processing certificates, and assisting account managers. This role is intended for someone seeking a long-term position where they can build stability, gain experience, and grow within the company over time.

We are a personal and commercial lines insurance brokerage with over 15 years in the industry and a continuously growing book of business. We work across a wide range of coverage including personal lines, commercial accounts, transportation, and bonds. Our team is friendly and collaborative, and our office operates in a high-volume environment with a constant flow of incoming calls, emails, and client requests throughout the day. We are looking for someone who can step into this environment, contribute to the workflow, and become a reliable part of the team as we continue to grow.

What You’ll Be Responsible For

  • Answering and managing all incoming calls on the main office line
  • Transferring calls or taking detailed messages
  • Handling certificate and evidence of insurance requests
  • Preparing ACORD 25, 27, and 28 forms
  • Verifying coverage details and accurately applying them to forms
  • Submitting through our AMS system after licensed agent approval
  • Contacting clients to obtain missing or required information
  • Including sensitive information such as payment details
  • Processing payments: Taking payments over the phone, running and applying payments, and following up with clients to update payment methods
  • Communicating directly with insurance carriers: Requesting changes, processing payments, and updating account details
  • Assisting Senior Account Managers with account servicing tasks, including support with forms such as policy changes or transfers (e.g., BORs, LPRs, cancellations)
  • Responding to emails and ensuring all requests are completed accurately and efficiently
  • Maintaining general office organization, including light tasks such as restocking shared areas

Training will be provided on how to read, verify, and prepare insurance documents and forms.

Requirements

  • High school diploma or GED required
  • Strong communication and organizational skills
  • Comfortable speaking with clients over the phone
  • Detail-oriented with strong follow-through
  • Reliable, accountable, and able to manage multiple tasks at once
  • Ability to work in a fast-paced, high-volume, deadline-driven environment
  • Ability to prioritize tasks effectively and complete them in a timely manner
  • Ability to maintain a professional, presentable appearance (business casual)

Confidentiality is required: This role involves handling sensitive client, financial, and policy information. Employees must maintain strict confidentiality, follow internal procedures, and handle all information with discretion and professionalism.

Work Schedule, Environment & What We Offer

  • Monday–Friday, 8:30 AM – 5:00 PM
  • $20 – $28/hour (based on experience)
  • 30-minute lunch + two 15-minute breaks for full 8-hour shifts
  • Parking provided (parking pass available if needed)
  • On-site café available for convenience
  • Individual workstation provided (computer, phone line, and company email)
  • May be responsible for locking up the office at the end of the day
