Position Overview

Under the general direction of the General Manager, the Risk and Safety Compliance Coordinator is responsible for planning, directing, and managing the activities of a risk management program. This role aims to protect VinLux by minimizing risks and avoiding losses. The coordinator will reduce exposure and costs by overseeing safety and loss control, general liability, and property programs, while ensuring compliance with company policies, all local and federal laws, and regulations such as OSHA, DOT, CHP, and other relevant codes. This hands-on position serves as a liaison, supporting both management and employees to maintain a safe and healthy workplace.

Key Responsibilities

Duties may include, but are not limited to, the following:

  • Develop, implement, and oversee ongoing safety and risk management training programs for VinLux employees, including training seminars, identifying hazards and exposures before losses occur, and preparing accident and incident reports.
  • Create, maintain, and track required safety training records and retention schedules.
  • Conduct monthly safety inspections for operations in Northern and Southern California.
  • Coordinate and provide guidance to all departments on developing and implementing safety programs, and on identifying, evaluating, eliminating, or reducing risks.
  • Stay current with laws and regulations related to safety, safety programs, and compliance, and provide frequent updates to VinLux.
  • Develop and maintain effective communication and relationships with all staff, assisting management in conducting detailed accident investigations and corrective actions.
  • Respond to and assist with safety audits and investigations.
  • Coordinate driver training and skill assessments, including onboarding training, orientation, and remedial training.
  • Maintain and assist with compliance for DOT and FMCSA regulations.
  • Handle all tasks related to driver qualifications, driver training, and driver records, identifying and resolving compliance and non-compliance issues in a timely manner.
  • Conduct weekly audits of drivers using a fleet management and tracking software system to ensure compliance and productivity.
  • Issue and maintain fleet cards for company drivers and company-owned power units.
  • Manage roadside inspections and citations, including overweight and traffic violations.
  • Review Driver Vehicle Inspection Reports (DVIR) daily and communicate with driver management to correct and validate resolutions.
  • Maintain compliant files and records, and ensure efficient use of Hours of Service.
  • Manage the safety and quality incident tracker for all incidents, both at fault and not at fault.
  • Update the internal database with current driver status, license information, and DOT compliance data.
  • Manage driver logs to ensure timely and accurate completion, in compliance with federal DOT regulations.
  • Investigate and track all accidents to meet company, FMCSA, and DOT requirements.
  • Serve as the primary point person for responding to personal injury and vehicle accidents, conducting investigations to determine cause and preventability, and identifying potential trends.
  • Process, administer, and manage all injury and liability claims, working closely with the Human Resources Department in accordance with company policy.
  • Provide expertise on all matters related to OSHA regulations, ensuring company operations remain compliant at all times.
  • Maintain OSHA logs and annual OSHA reporting, and submit workplace injuries to the DOL via the ITA System.
  • Ensure required regulatory and compliance postings are in place at all locations.
  • Implement the Injury and Illness Prevention Plan and Emergency Action Plan, and schedule appropriate safety drills.
  • Conduct the renewal and MCS-150 filing for the company every two years.
  • Oversee the Department of Motor Vehicle Employee Pull Notice Program for both facilities.
  • Perform other duties as assigned.

Job Requirements

Essential Skills, Abilities, Experience, and Education

Skills and Abilities

  • Previous experience providing safety compliance to a workforce or trucking fleet.
  • Working knowledge of the workers' compensation system and OSHA in California, including workplace safety and reporting.
  • Ability to read and interpret documents related to safety rules, maintenance and operating instructions, technical procedure manuals, and government regulations.
  • Ability to effectively present information, write routine reports and correspondence, and produce useful management reports.
  • Must be able to travel between both company facilities in Northern and Southern California as required.
  • Strong organizational, interpersonal, and communication skills, with the ability to assess, coach, train, and mentor employees.
  • Fluency in Spanish, both oral and written, is highly desirable.
  • Knowledge of general and auto liability claims administration.
  • Injury and damage claim investigation skills, along with principles and procedures of accident prevention.
  • Ability to effectively plan, organize, conduct, and coordinate a comprehensive risk management program.
  • Maintain the highest levels of integrity and confidentiality with sensitive information encountered during work, and use sound professional judgment and ethics.
  • Ability to use latitude within job parameters to make independent decisions.
  • Capability to take initiative, problem-solve, manage multiple tasks, re-prioritize duties, and work well under pressure to meet deadlines.
  • Ability to manage multiple projects, establish priorities, and accomplish goals and objectives.

Computer Skills

  • Proficient to advanced level in Microsoft programs, including Word, Excel, and Outlook.

Experience

  • 3+ years of safety experience in related transportation compliance.
  • 3+ years of experience with FMCSA and DOT requirements.
  • 2+ years of experience with Electronic Log compliance.
  • Expertise and extensive knowledge of DOT rules and regulations.

Education

  • A Bachelor's degree from an accredited college or university in occupational health, occupational safety, or a closely related field.

Wage Transparency

The base pay for this role ranges from $70,304 to $103,818 annually. Compensation will be determined by candidate experience, skills, and location.
