Customer Service Representative and Front Desk Receptionist
Summary: We are looking for a friendly, motivated, and service-oriented professional to become part of our family-owned auto body repair company. This essential position serves as the initial point of contact for customers, requiring strong communication and organizational abilities. Duties
Instruction will be offered for the following tasks:
- Act as the primary contact by responding to questions, routing phone calls, and sharing details about our services.
- Welcome clients in a professional manner, assist with estimate requests, and help with filing insurance claims.
- Physically inspect vehicles during drop-off and support customers during check-out and payment processing.
- Reach out to customers to arrange repair schedules and provide progress updates.
- Carry out general office duties such as filing, scanning, ordering supplies, and keeping the office and waiting area tidy.
- Communicate with insurance adjusters to verify coverage and track supplement approvals and payments.
- Use Microsoft Word, Excel, email, and shop management software for routine activities.
- Manage basic accounts payable tasks including matching invoices to statements and processing payments to vendors.
- Capture before and after photographs of vehicles.
Qualifications
- Professional appearance, a positive outlook, and a strong dedication to work.
- Strong verbal and written communication skills with a proactive approach to follow-ups.
- Exceptional organizational skills and close attention to detail.
- Ability to manage multiple tasks efficiently in a fast-moving environment.
- Prior experience in customer service is preferred.
- Experience in the collision repair or auto body field is an advantage.
- Ability to adapt and take responsibility with limited supervision.
- Proficient with computers, including Microsoft Word, Excel, and Outlook.
- Comfortable typing at a minimum of 40 words per minute.
- Bilingual skills in English and Spanish are a plus.
