Role Summary

The Maintenance Director is responsible for ensuring the fleet operates safely, efficiently, and within budget. This position oversees day-to-day maintenance activities, ensures adherence to safety regulations, manages parts and service operations, and provides operational support for both the fleet and its drivers.

Primary Duties and Responsibilities

  • Daily Operations: Allocate buses to drivers and collaborate with dispatch to fulfill trip requirements. Review and communicate daily post-trip inspection results using Whip Around software to mechanics. Assist drivers with bus-related concerns and escalate to mechanics for significant repairs.
  • Maintenance and Service Scheduling: Work with staff to ensure all 45-day and annual inspections are conducted on schedule. Arrange routine maintenance tasks such as oil changes, transmission services, and differential fluid replacements with mechanics. Keep precise service records for all vehicles and service trucks.
  • Parts and Inventory Control: Supervise the procurement, storage, and management of parts. Research and acquire cost-effective components, handle warranty claims and returns. Verify delivery accuracy by matching invoices against received items. Maintain inventory of lubricants and fluids, including oil, DEF, and coolant, while negotiating competitive pricing.
  • Safety and Regulatory Compliance: Retrieve and analyze safety footage from the camera system as needed. Organize and track driver training sessions and proficiency evaluations covering emergency protocols and equipment use. Investigate reported and unreported bus damages, document incidents, and collaborate with management on disciplinary measures. Monitor safety metrics using Samsara and dashcam systems, including speeding, seatbelt usage, and harsh driving events.
  • Quality Assurance and Cleanliness: Perform monthly inspections to confirm that bus amenities such as stereos, microphones, cameras, outlets, restrooms, and Wi-Fi are fully operational. Oversee bus washing schedules and ensure cleaning staff follow safety procedures. Manage cleaning supply stock and coordinate lost and found processes with dispatch.
  • Software and Reporting: Ensure maintenance laptops and diagnostic tools like Cummins, Detroit, and Tech Tools are updated and functioning. Submit monthly tire mileage reports for all buses to Bridgestone.
  • Hands-On Support: Provide assistance with basic on-site or emergency maintenance tasks when required.
  • Service Truck Management: Keep current registrations and insurance coverage for service trucks. Track service history and conduct regular toolbox inventory checks.
