Overview

This position supports the Project Coordination Team by aiding in project execution and guaranteeing efficient administrative workflows. The role involves communicating with clients, organizing documents, and supporting a crew of 20 field installers.

Requirements

• Strong verbal and phone communication abilities
• At least 3 years of office or administrative experience
• Proficiency with QuickBooks
• Advanced computer skills with MS Windows, Excel, Word, and Outlook
• Typing speed of 45 words per minute or more
• Experience operating in or adapting to a digital office setting
• Self-motivated and capable of working without constant supervision
• Excellent organizational and leadership capabilities
• Demonstrated time management proficiency
• Ability to meet deadlines and juggle several tasks simultaneously
• Effective problem-solving and analytical skills

Key Responsibilities

• Process all incoming project change requests
• Track and collect project payments
• Maintain and arrange client records and project paperwork
• Help with scheduling and allocating internal projects
• Manage scheduling and project tracking systems
• Coordinate warranty and service visits
• Handle all incoming and outgoing documents for a team of 20 field installers
• Deliver outstanding phone assistance and customer service to clients
