Customer Service Representative

Overview: This full-time, in-office position involves managing customer leads from the first point of contact through to project completion and billing. The role works closely with the Production and Billing teams to maintain accurate records, ensure regulatory compliance, and close projects promptly. Key Duties

  • Check project file status daily to confirm the accuracy of all related documentation.
  • Communicate daily with Production teams to collect necessary documentation at job sites when work is performed.
  • Create and assess estimates based on the defined scope and photos provided by the Production team.
  • Maintain a current Work in Progress board for all active leads and projects.
  • Monitor and verify compliance with all client requirements.
  • Manage internal and external communications with all relevant stakeholders.
  • Review time stamps and other data to ensure reporting and key performance metrics are correct.
  • Complete and review job file documentation for final submission and audit purposes.
  • Conduct internal audits of all projects to ensure estimates cover all completed work.
  • Handle all project closure tasks, including collaborating with the accounting department to ensure accurate invoicing.
  • Provide support to other departments as needed.
  • Contact and update clients and insurance adjusters on the status and progress of each project.
  • Work closely with the billing department to facilitate payment collection.
  • Ensure all necessary documents are signed by the client.

Requirements

  • A high school diploma or GED is required.
  • Excellent customer service skills, strong organizational abilities, and outstanding verbal and written communication are necessary.
  • Proficiency with various digital tools and technologies to perform job duties effectively.
  • Previous experience in an office or estimating role is preferred.
  • Background in restoration, construction, or insurance is beneficial.

Work Conditions and Schedule

This is mainly a sedentary office-based position. The standard schedule is full-time, Monday through Friday, from 8:00 a.m. to 5:00 p.m.
