Overview

This full-time, office-based role involves managing job files from initial lead conversion through to final billing. The position requires close collaboration with Production and Billing departments to ensure documentation compliance, accurate reporting, and timely communication with customers. Key Duties

  • Review job file status daily to ensure accuracy of all related documentation.
  • Communicate daily with Production teams to confirm that all required documentation is obtained on-site.
  • Create and evaluate estimates using provided scopes and photographs.
  • Maintain an up-to-date Work in Progress board for all active leads and projects.
  • Oversee and verify compliance with all client specifications.
  • Maintain clear communication with all internal and external stakeholders.
  • Check timestamps and data to ensure accurate reporting and key performance metrics.
  • Finalize and review job file documentation for final upload and audit procedures.
  • Conduct internal audits to confirm estimates cover all completed work.
  • Carry out all job close-out duties, including coordinating with accounting for correct invoicing.
  • Contact clients and insurance adjusters to inform them about project status.
  • Work with the billing department to secure payments.
  • Ensure all necessary documents are signed by clients.
  • Provide support to other departments as needed.

Qualifications and Background

  • A high school diploma or GED is required.
  • Previous experience in an office or estimating role is an advantage.
  • Excellent customer service skills, strong organizational abilities, and outstanding verbal and written communication are essential.
  • Proficiency in using various digital tools and technologies.
  • Experience in the restoration, construction, or insurance industry is helpful.

Standard Schedule and Conditions

This is a full-time role. Working hours are between 8:00 a.m. and 5:00 p.m., Monday through Friday. This is primarily a sedentary office-based position; some filing tasks may involve lifting, bending, or using a step stool.
