Job Title: Planning & Building Submittal Coordinator - Office Assistant

About Us:

CODG, Inc. is a residential design-build firm specializing in high-end custom homes and remodels along the Monterey Peninsula. We are looking for a meticulous and well-organized professional to oversee planning and building submittals while providing administrative support to the office. This role is essential in coordinating efforts among consultants, drafters, and municipal authorities to create complete and compliant plan sets that facilitate timely approvals and permit issuance.

Key Responsibilities:

  • Prepare, review, and submit planning and building permit applications to local municipalities.
  • Coordinate with designers, drafters, consultants, and engineers to produce thorough and accurate plan sets.
  • Examine drawings and documents to ensure adherence to municipal submittal standards, zoning ordinances, and building codes.
  • Communicate directly with city planners and building departments to address comments and monitor project progress.
  • Stay informed about current local and state building codes, zoning updates, and planning requirements.
  • Manage submittal correspondence, organize project documentation, and handle office communications.
  • Take notes from the Principal and generate tasks and to-do lists; coordinate and follow up with our team, consultants, and drafters.
  • Support general office administration, including but not limited to scheduling, printing plans, answering phones, greeting clients, scanning documents, picking up and delivering plans and materials for projects, and filing.

Qualifications:

  • Minimum of 2 years of experience with the permit process involving local municipalities, planning and building departments, environmental agencies, public works, water management, and private HOAs and Architectural Review Agencies.
  • Familiarity with the California Building Codes (CBC) and the ability to stay updated on code changes.
  • Excellent communication and organizational skills with strong attention to detail.
  • Proficiency in Microsoft Office; familiarity with AutoCAD or plan coordination is a plus.
  • Ability to manage multiple projects and work independently in a fast-paced environment.

Schedule & Compensation:

In-person role at our Carmel office.
Flexible Part-Time or Full-Time schedule.
Competitive pay based on experience.
