The Position
The City of Goleta Finance Department is looking for a part-time Department Aide to offer administrative support across various programs. The ideal candidate should have strong customer service skills and the ability to quickly adapt to new software systems, including those for business license applications. A basic familiarity with office financial processes, such as cash handling and accounts payable, is beneficial, along with fundamental arithmetic skills and proficiency in Microsoft Excel. Primary duties will involve assisting the Business License Specialist with front desk customer service, handling phone calls, and replying to emails. During quieter periods, this role will support Accounts Payable by scanning and organizing documents, assisting Accounting Specialists, and providing coverage during lunch breaks. Additional tasks may include helping accountants with data retrieval and basic account reconciliation activities.
Applicants must be able to work on-site at City Hall for four hours each day, Monday through Thursday. An extra three hours per week may be available depending on special project needs.
Accounting or bookkeeping experience is a plus but not mandatory. Ideal candidates will have some familiarity with Microsoft Office, especially Excel.
This position will not exceed 999 hours in any fiscal year from July to June. It is a temporary, non-benefited, at-will role that does not confer property rights or an expectation of ongoing employment.
The Department
The main role of the Finance Department is to safeguard the financial integrity of the City of Goleta by delivering high-quality financial services, upholding public trust, and promoting government efficiency, effectiveness, and accountability. The department manages an effective financial accounting system that accurately reflects the city's financial operations and provides a structure for financial planning and analysis. Additionally, the Finance Department oversees the city's investment program. The primary objective is to furnish accurate, reliable, and timely financial information to the City Council, City Manager, city staff, and external parties, adhering to professional standards.
Examples of Duties
The following duties are typical for this classification. Incumbents may not perform all listed functions, nor are all duties necessarily carried out by every person in this role, depending on business needs and evolving practices:
- Maintain precise and current files and records for assigned areas; develop and monitor various logs, accounts, and files to ensure accuracy; create, organize, and maintain filing systems.
- Perform routine clerical tasks related to record keeping and reporting for assigned areas; maintain various records, logs, and files; assist department staff, vendors, and others.
- Provide support to department staff, vendors, and the general public in assigned areas.
- Operate office equipment such as a PC or laptop, copier, and fax machine; use various computer applications and software.
- Carry out additional duties as required.

Education/Training
Equivalent to completion of the twelfth grade.
Experience
One year (full-time equivalent) of related experience in departmental support or customer service.
